Collaborates with and supports program supervisors and/or managers to ensure administrative support is available to all programs and/or departments residing in the building.
Performs or provides oversight for office functional duties such as processing mail, answering phones, greeting visitors, scheduling, and setting up meetings in the conference/meetingrooms, ensuring adequate office supplies are available for staff, managing work order requests related to building,ensuring office equipment in working order, etc.
Management of Caritas fleet assigned to building ensuring scheduling for usage, maintenance, and general upkeep.
Reconciles vehicle gas card transactions and report any discrepancies to Finance.
Completes vouchers for office purchases or services rendered, when applicable.
Maintains a daily log for incoming checks, cash, and credit card transactions.
Contact for and management of vendors (water, copier, cleaning, shredding, vending,etc.
)Ensures office complies with accreditation requirements, such as fire and tornado drills and monthly building inspections.
Manages Petty Cash for program/departmentuse.
QUALIFICATION REQUIREMENTS:
Minimum requirements include an associate degree/60 hours of college credits, and two years of experience running an office, preferably four years of experience running an office successfully.
Ability to function autonomously and navigate and understand vendor agreements/contracts and provide oversight for building management.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
