ESSENTIAL FUNCTION OF THE POSITION:
The Receptionist completes general office and reception activities, monitors/facilitates building security procedures, participates in marketing, hospitality, and public relations activities, and acts as an advocate for Residents and/or families.
ACCOUNTABILITIES AND POSITION ACTIVITIES:
1) Completes general office and reception activities.
Answers incoming telephone calls promptly and professionally and transfers such calls efficiently in compliance with departmental policy.
Completes clerical requests from Directors/Coordinators as time allows.
Sorts mail immediately upon receipt from post office delivery in compliance with departmental policy related to distribution of mail.
Distributes Employment applications on request, accepts such when complete, and routes to the Director of Human Resources.
2) Monitors/facilitates building security procedures.
Follows all organizational policies and procedures related to building security.
Maintains visual surveillance of the front lobby entrance and monitors video equipment for other entrances.
Makes routine observations related to building security and shares such with appropriate management staff for review/implementation of new ideas.
3) Participates in marketing, hospitality, and public relations activities.
Facilitates telephone and/or walk in inquiries professionally and enthusiastically.
Maintains an adequate supply of all facility brochures and contacts Marketing personnel as necessary to request additional materials.
Maintains a professional appearance for self and the entire outer office area.
4) Acts as an advocate for Residents and/or family members.
Facilitates problem solving activities as needed or at the request of Residents, staff, families, guests, vendors, etc.
Provides active listening for Residents and family members and directs them to the proper resource (staff member) for problem resolution.
Documents concerns and other relevant observations, questions, etc.
on the Employee Concern form and submits to administration for review and resolution.
